Purpose: Reception and Administrative support at local Business Centre in Hartlepool working alongside staff and in particular the centres Deputy Manager
Meet and greet visitors to the Centre and direct to relevant units / meeting rooms
Answer incoming calls, direct calls and take enquiries/messages
Photocopying and scanning as required
Filing as required and updating filing systems
Archiving files as requested.
Distribute incoming post
Frank outgoing post and record against business/ budget code
Take room bookings and complete forms for invoicing
Set up equipment for room bookings and arrange pre-ordered catering/refreshments
Typing up of basic documents
Update databases and mailing lists
Input information on spreadsheets
Help prepare event information and packs
May include updating of website and internet research.
Time needed from Volunteer:
4 hours a day ideally, Time and days to be arranged with Manager.
Skills Experience & Qualifications:
Good communication and customer service skills both face to face and over the telephone.
Basic IT skills- Microsoft Office, Email and Internet
Able to work as part of a team
Willing to learn.
Previous experience of working in a customer facing role.
Training provided for all duties.
